Caution Landmines Ahead – Depositions in Conference Centers and Hotels.


Okay, so the title is extreme, first the good news. Load-in, setup, tear down, and load-out are pretty easy in hotels and conference centers. Working elevators, lots of room, sometimes control of air conditioning and heat and most often an assortment of nifty refreshments.

Problems arise when assignment paperwork omits important location information. Almost consistently, when assignments bring us to hotels we simply get the address. That’s it. It’s not enough.

We have spent hours upon our arrival (and this is NOT an exaggeration as this past week it took a full hour on-site to find out where to set up), talking with the front desk and conference staff trying to figure where to go. Too often it’s deer into headlights!

Knowing what firm booked the room and with whom they dealt with at the hotel would keep this bottleneck from occurring. It’s a simple conveyance of details.
It doesn’t make sense, to wake up hours before dawn to beat city traffic, only to arrive on location and lose such valuable time

The second point of contention takes me back to my days early in my corporate career, organizing events for IBM. We would always ask “who is in the next room?”

Most recently we were assigned to a small boardroom at a Hilton hotel that was perfect for our needs. However, adjacent to our area was a large ballroom that held about 100 meeting attendees who took breaks right outside our door.  Due to the ambient noise, we were forced to go off the record and speak with hotel management who shortly thereafter, posted a “quiet please” sign. This saved the day.
